VI. EXECUTIVE SECRETARY
A. Leadership Support
1. Provide continuity in
the area of financial operations
2. Provide mailing lists to
the officers, committee chairs, and local council presidents and any
others needing this service during the year for
the purpose of facilitating activities and
communication.
3. Provide statistical
information about membership, convention and other areas, as needed to
make sound policy decisions.
4. Maintain general files
and provide appropriate materials for the archives.
5. Serve as an ex-official
member of the Executive Committee, the Board of Directors and
those policy-making
committees established by the Board, where the Executive Committee
deems necessary the participation of the Executive
Secretary for advisory and informational
purposes.
6. Serve the elected
officers in any other appropriate ways that enables them to better perform
their constitutional and
organizational duties.
7. Prepare semi-annual
written reports of activities for the Board of Directors.
8. Prepare semi-annual
reports for the Executive Committee detailing suggestions for the
improvement of Council activities and
governance.
9. Prepare NCSS affiliation
reports.
10. Complete tax and audit
report.
11. Prepare Who’s Who
Directory.
12. The term of office is
for three years.
B. Membership
1. Process, update and
maintain records of all memberships.
2. Accept and deposit,
if requested by the Treasurer, all monies received as membership dues.
3. Process membership
renewal notices.
C. Publications
1.Prepare mailing labels of
all issues of TIME & PLACE and the SOCIAL SCIENCE
DOCKET as well as any other mailings sent during the
year.

2. Receive and forward all
monies received for payment of back issues of SSD, curriculum
guides, etc.
3.Fill all requests for
back issues of SSD and TIME & PLACE.
D. Annual Convention
1. Works with convention
Chair in preparation of registration and materials/forms.
2. Receive and record
convention registration
3. Handle problems related
to registration during the annual convention.
4. Collect and deposit, if
requested by the Treasurer, all monies received as payment for
registration, meals and activities.
5. With the assistance of
the Convention Chair and the Treasurer, prepare a financial statement
for the Annual Convention. The goal should be to
have the statement available for the June
change-over meeting.
6. With President, signs
final site contracts, maintaining one copy for files and forwarding
another copy to Convention Chair
E. Home address for organization
· The Executive Secretary will be responsible for the
official home address of the
organization and will process all mail.
F. Treasurer Support
1. Process all checks to be
signed by the treasurer
2. Deposit all income
3. Prepare periodical reports
for the treasurer
4. Prepare records for
audit
5. Serve as liaison with
banking institutions
6. Provide for bonding
